Office pod rental includes the use of the selected pod for an agreed period, alongside Fluid’s support in choosing the product, arranging delivery and managing installation.
However, the advertised monthly rental price does not normally include the cost of delivery and installation. These are calculated for the individual project and charged separately upfront.
That distinction matters.
The rental service covers more than simply supplying a pod, but the monthly figure shown on a product page should not be treated as the total installed project cost.

What is included in the office pod rental service?
Fluid manages the project from initial product selection through to delivery and installation.
The service includes:

Is delivery included in the monthly rental price?
Delivery is included within the overall project quotation, but it is not normally included within the advertised monthly rental rate.
Fluid calculates the delivery charge according to factors including:

A single-person phone booth might include a laptop shelf but require a stool to be selected separately. A larger meeting pod may be available with different tables, seating layouts or screen options.

Fully Flexible rental
The Fully Flexible option has no fixed minimum term, but it requires 90 days’ notice.

The term therefore affects the monthly rate. A figure based on 24 months may not apply to a shorter, more flexible contract.
How are rental payments made?
Fluid’s office pod rental page states that payment can be made by monthly Direct Debit, quarterly invoice or upfront payment.
The delivery and installation charge is paid separately upfront, together with the first monthly payment. Subsequent monthly payments are then collected from the month after delivery.
The final quotation should make the payment schedule clear, including:

Can you change the pods during the agreement?

Can the pod move to another office?
Yes, Fluid can provide a relocation service.
This may include dismantling the pod, transporting it to the new workplace and reassembling it in the new position.

The new office must also be checked for:

Available floor space

What happens at the end of the rental agreement?
At the end of the minimum term, Fluid provides three principal routes.
Return the pod
The pod can be returned if it is no longer required.
Customers must provide the required notice before the agreement expires. Fixed-term contracts generally require at least 30 days’ notice, while the Fully Flexible option requires 90 days.
Continue renting
The organisation can retain the pod and continue the rental.
Fluid states that fixed agreements may automatically renew for the same length of term, up to a maximum renewal period of 12 months, unless notice is given. The exact renewal terms should be checked in the contract.
Purchase the pod
Customers can request a quotation to buy the pod.
Fluid allows this at any point during the contract, not only when the original minimum term has ended.
This gives organisations the option to test a product through rental and move to ownership when its long-term value has been proven.
Can you cancel early?
A rental contract can be cancelled before the end of the agreed term, but a break fee may apply.
The fee depends on how much of the contract remains.
This means “flexible rental” should not be interpreted as every agreement being cancellable immediately without cost.
The Fully Flexible option is designed for shorter or less certain requirements. A fixed-term contract may offer a stronger rate, but it also creates a longer commitment.
